How to issue a refund

Send money back on a completed order — and know when a return is the right tool instead.

Lunix has two ways to reverse a sale, and picking the wrong one costs you stock. A refund sends money back and touches nothing else. A return sends money back and brings the goods with it. This page is the money-only case.

  1. 1

Start by picking the right tool

Open the order and look at its two actions. Refund money sends cash back and touches nothing else — right for a service you did not deliver, an overcharge, or a goodwill adjustment. Return items sends money back and brings the goods with it, so the unit lands back on your shelf with a reason and a condition on the record. If the customer is handing you a product, use Return items instead: a refund records no reason, no condition and no stock movement, so that unit stays missing from your inventory for good.

  2. 2

    Find the order

Go to Orders → All orders. Search by order number, customer name, phone, or IMEI to locate the original sale.

  3. 3

Open the order and click Refund money

On the order detail page, click Refund money. You land on the dedicated refund page, titled "Refund Order #[order number]".

  4. 4

    Enter the refund amount

Type the amount in the Refund Amount field. LunixPOS shows you the maximum refundable below — you cannot exceed it.

  5. 5

    Pick a refund method

Tap one of the method cards. Active methods include Cash, Card Terminal, manual Debit/Credit Card, and any app methods you have enabled (Zelle, PayPal, Cash App, Affirm, E-Transfer). Custom methods you created also show here.

  6. 6

    Add an internal reason

Type a short reason for the refund. This is staff-only — customers never see it. It appears in your audit log and reports.

  7. 7

    Confirm the refund

Click the Refund [amount] button. The funds reverse on the original card automatically (for card refunds), the cash drawer pops on a cash refund, and the order detail shows the refund record on the timeline.

Pro tip

  • A refund does not change what the order says it sold. If the order's own lines and total need to shrink, that is a return with "Adjust the order" chosen — not a refund.
  • Refunding to store credit keeps the money in your shop. The option appears for a named customer when the Store Credit payment method is enabled.
