How to sell in another currency

Set a base currency, add the ones you accept, and decide whether each rate follows the market or your counter.

One currency is the one you charge and report in. Everything else is a currency you accept at the counter, converted to that base. Rates are per location, because a branch across a border does not have the same rate on the wall.

  1. 1

    Open Settings → Currencies

The screen holds the exchange rates for this location. If it tells you there is no base currency for this location, set that first — every rate is expressed against a base, so nothing else works until there is one.

  2. 2

    Set the base currency

The base is what the point of sale charges and reports in. It is fixed at 1.000000 and there is only one per location. Choose it once, deliberately: changing it later sets the new base to 1.000000 but does not recalculate the other rates, so you have to check every one of them afterwards.

  3. 3

    Add the currencies you accept

Click Add currency, enter its three-letter code, and choose where its rate comes from. Until you add one, the screen says you have only the base — add one to take foreign cash at the counter. Accepted currencies are charged converted to your base.

  4. 4

    Choose the rate source

Two kinds, and the difference matters:

    • Market rate — the provider is asked for the rate when you save. It needs the exchange-rate provider set up on the server.
    • Manual rate — the number you type. It never follows the market on its own.
  5. 5

Type the rate the way you read it

Enter the rate as you would read it at the counter. The screen shows you the stored value underneath — how many units of the currency per 1 of your base — so you can see it understood you correctly before saving.

  6. 6

    Compare against the market

The Market rates panel puts what you have saved next to what the provider says, with the difference. Use this one to take a single rate, or Apply all to take them all. Note the consequence: applying a rate marks it as manual, so it stops following the market until you apply again.

  7. 7

Know what happens when a rate is missing

If a currency has no saved rate at a location, a sale in it is charged in the store's currency instead. That is a quiet fallback, so check the rate exists at every branch that offers the currency.

  8. 8

Remove a currency you stopped taking

Deleting one stops it being offered at checkout in that location. Orders already issued keep the currency and rate they were issued with — history is not rewritten.

Proffs tips

  • Rates are per location. Adding a currency at your main branch does nothing for the second one, and the branch that is missing it will silently charge in your base.
  • Decide who updates the rate and how often, and write it on the wall. A manual rate that nobody has touched in three months is a discount you are giving without knowing it.
