What is set per location and what is set for the whole store

The one page that answers it, so you stop configuring the same thing twice — or once when it needed twice.

Some settings belong to a branch and some belong to the business. Getting this wrong produces two different frustrations: doing a job twice for no reason, or doing it once and wondering why the second branch does not behave. Here is the dividing line.

    Stock is always per location

    A quantity is a quantity at a place. Inventory, stock counts, adjustments and transfers all belong to one location, which is why a stocktake tells you it covers one location and leaves the rest untouched.

    Anything attached to a counter is per location

    The physical shop is local, so these are all set per branch:

    • Register stations — the drawers at that counter.
    • Customer display settings — welcome message, language, photos, part type.
    • Currencies and exchange rates — a branch across a border does not have the same rate on the wall.
    • e-NCF sequence ranges — DGII assigns them per location.
    • The WhatsApp inbox — shared for that location's number.

    A shift belongs to the store, not the branch

    This one surprises people. An employee's shift is the store's record even though it was worked at a branch, so the timesheet shows every shift with the location it was worked at. It has to be that way — it is the one place that has to reconcile somebody who covered two branches in a week.

    People and their permissions are the store's

    Users, roles and PINs belong to the business. You then choose which locations a user can access — so the account is central and the reach is local.

    The catalog is the store's; its stock is not

    A product exists once for the business, with one name, one SKU and its categories. What differs per location is how many you have. That is why organizing your catalog is a job you do once and counting is a job you do per branch.

    When in doubt, look for the location line

    Screens that are location-scoped say so — a note that these settings apply to one location only, or a location picker at the top. If a screen shows one, assume you will be doing it again for the next branch.

Proffs tips

  • When you open a second branch, walk the per-location list deliberately rather than discovering it. The two that bite hardest are e-NCF ranges, because the counter simply cannot issue a receipt, and currencies, because a missing rate silently charges in your base.
  • A figure that disagrees between a report and a screen is often a scope difference, not an error. Check whether you are looking at one location or the whole store before hunting for a bug.
