How to manage your repair parts inventory

Parts have their own stock and their own states — in repair, waiting, and what a delivery unblocks.

A repair part is not a product you sell off a shelf. It gets consumed inside a job, it can be committed to a device that is sitting in a drawer waiting for it, and a delivery of one part can release several repairs at once. Lunix tracks parts separately for exactly that reason.

    Find your parts inventory

    Parts live in Inventory alongside your products, on the parts side. The summary tells you the parts-on-hand value and how many parts across how many brands — that figure is usually larger than owners expect, because parts accumulate quietly.

    Read the two states a part can be in

    A part's quantity is not one number. Two states matter:

    • In repair — already taken out of stock by an open repair. The unit is committed even though it is physically in someone's hand.
    • Waiting — devices parked waiting for this part, with how many units they need between them.

    Use Waiting as your buying list

    A part with devices waiting on it is a part with customers waiting on it. Lunix tells you how many devices are parked and how many units it would take to clear them, which is a far better reason to order than a low-stock badge.

    Check what an incoming delivery unblocks

    When units are already on order, the part says how many are arriving and on what date, and whether that clears all the waiting devices or only some. This is the sentence to read before promising a customer a day.

    Act on the arrival

    When you receive a part that repairs were waiting on, Lunix tells you the part for however many devices has arrived, and those repairs can move. Each customer is told about their own device — nobody gets a message about somebody else's phone.

    Order parts on a purchase order

    Parts are bought the same way as anything else: a purchase order to the supplier, received line by line. What makes them different is where the demand came from, which is the waiting list rather than a sales forecast.

    Watch the two parts reports

    Repair parts low stock tells you what to order. Repair parts inventory sold tells you what got consumed across repair jobs — which is the number that reveals a part you keep restocking and a repair you may be underpricing.

Proffs tips

  • "Nothing is waiting on this part" is worth checking before a big order. Stock that nothing is waiting for is money on a shelf.
  • A part in the In repair state is not missing. If a count comes up short on a part, check open repairs before you conclude anything.
