How to read your bill-payment wallet ledger

The wallet is the float that bill payments and recharges are paid from. The ledger is the only place that reconciles it: what you put in, what each sale took out, and what is left.

    Open the wallet

    From Bill Payment, open the wallet. The balance sits at the top and the history below it. The balance is the number that decides whether you can sell this afternoon.

    Read the history as movements, not as sales

    Every line is money moving: a funding in, a bill payment or recharge out. A day with forty transactions has forty lines, and the running balance beside them is what should match what the wallet says.

    Understand how funding arrives

    Funding the wallet by ACH Direct is a bank transfer, and a transfer takes time to clear. The ledger shows it when it lands, not when you submitted it — which is why funding on the morning you need it is a mistake you only make once.

    Get the statement for a period

    The wallet statement is the version to keep or hand to a bookkeeper. Pull it for the period you are reconciling rather than reading the whole history.

    Reconcile it against your own cash

    A wallet that runs dry stops bill payments mid-afternoon with customers waiting. Decide a floor you top up at and fund above it, rather than funding when a sale fails.

  • Fund on a schedule, not on demand. The clearing time on a transfer is the whole reason this needs planning.
  • If the balance and the ledger disagree, trust neither until you have the statement for the period. A balance is a snapshot; the ledger with a statement is the record.
