How to build a CRM form

Turn the questions you ask on the phone all day into a form that fills in a lead by itself.

A form is the front door to your pipeline. Someone answers a few questions on your website or from a WhatsApp link, and a lead appears on your board with their name, their email and their phone already in the right fields — not buried in a message someone has to read.

    Open Workspace → Forms

    From the sidebar open Workspace and go to Forms. Click New form. If this is your first, the empty state offers Create my first form and does the same thing.

    Start from a template, not from blank

    Lunix offers Contact, Quote and B2B starters. Take one. They arrive with their questions already saved into the right places on the lead, which is the part that is easy to get wrong. Blank is there for when you know exactly what you want and none of the three fit.

    Name the form

    Form name is what you will recognise in the list — and on a published form it is the heading the customer reads. "Quote my screen repair" is a better name than "Form 1". Add a short description if the customer needs a sentence of context before they start typing.

    Write each question

    Add field, then fill in:

    • Question — what the customer reads. Write it the way you would say it out loud.
    • Type — Short text, Long text, Email, Phone, Number, Dropdown, Checkbox or Date. The type decides the keyboard a phone shows and what Lunix will accept.
    • Required — on for anything you genuinely cannot follow up without.
    • Placeholder and Helper text — optional, for an example answer or a note under the field.
    • Options — for a Dropdown, the choices. At least one.

    Save each answer into the lead

    This is the step that matters and the one people skip. Save to lead as tells Lunix where the answer belongs: Lead title, Contact name, Email, Phone, Lead value or Notes. Anything left on Answer only is still stored with the response — you just cannot call, email or invoice from it.

    Take the suggestions

    Lunix reads your question as you type it and offers the mapping it implies — "This answer can fill Email on the lead" with a one-click Save as Email. It only ever offers; a mapping you set by hand is never overwritten. It also spots the mismatch that blocks publishing: an email question left as Short text gets "This question reads like Email" and a button to change the type.

    Choose where responses land

    Under Where responses go, pick the board and the column. Every response opens a lead there. Send quote requests to the column you actually work from, not to a staging column nobody opens.

    Write the thank-you

    After they submit sets what the customer sees when they are done — a heading and a message. Use it to set an expectation you can keep: "We got your request and will message you today" is worth more than "Thank you".

    Save

    Click Save. The form stays a draft with no link until you publish it, so you can keep working on it without anything being live.

Wskazówka dla profesjonalistów

  • Two fields cannot save to the same place. If you have two ways of asking for a phone number, map one and leave the other on Answer only.
  • Every field has a field key underneath, used to store the answers. Once a form has responses the key is locked — the answers already filed under it would come loose.
  • File upload fields cannot be published yet. Build the form without one for now.
