How to set up a Workspace board

Create a Kanban-style board in the Workspace, choose a board type, and define the stages your tasks or leads will move through.

Workspace boards give you a visual, drag-and-drop way to track work across custom stages. In a few steps you can create a board, pick whether it tracks tasks or CRM leads, and set up the stages and colors that match how your shop works. You can always edit stages later.

    Open the Workspace

    From the sidebar, open Tasks or CRM to reach the Workspace board. If you don't have a board yet, you'll see the prompt "There is no boards Create a new board to get started."

    Click + Add new board

    Click + Add new board to open the board setup modal. It walks you through three steps shown in the header.

    Select Board Type

    On the Select Board Type step, pick the kind of board you want, then click Continue.

    • Task Default Board — for to-dos and work that moves To Do, Doing, Completed
    • CRM Default Board — for leads that move To Contact, Contacted, Qualified, Proposal Sent, Won, Lost

    Add Board Title

    On the Add Board Title step, type a name in the Enter Board Title field (up to 40 characters), then click Continue.

    Set Up Stages

    The Set Up Stages step shows the note "These stages help you organize items on your board. You can edit them now or later." For each stage you can:

    • Enter stage title — the column name
    • Select stage color — tap the color swatch to choose from the palette
    • Status (Task boards only) — set Active, Done, or Closed; use "What are Statuses?" for definitions
    • Click Add Another Stage to add more columns (minimum 2 stages)

    Save the board

    Click Save. Your new board opens in the Workspace with each stage shown as a column.

    Add your first task

    Click New Task to open the task form. Fill in the details and Save to drop a card into its stage.

    • Task Title — required
    • Assignee — the team member responsible
    • Due date and Priority (High, Medium, Low)
    • Description and Subtasks via Add Subtask

Pro tip

  • Stage colors are visual cues only — pick distinct colors so overloaded or stalled columns stand out at a glance.
  • On Task boards, the Status you assign each stage (Active, Done, Closed) controls whether tasks in that column count as still in progress or completed, so set it deliberately.
  • You don't have to get stages perfect up front — open the board's manage options anytime to add, rename, recolor, or remove stages.
